WPCC Privacy Policy 

 

Wellington Pregnancy Care Centre (WPCC) is committed to safeguarding the personal information entrusted to us by our clients, supporters, and centre personnel. Any personal information that we obtain and retain is kept in such a manner as to ensure its security and confidentiality. In addition to these Best Practices, WPCC has adopted the following Privacy Statement to inform our centre personnel, clients, and the public about how we protect personal information. 

 

What is Personal Identifiable Information? 

Personal Identifiable Information (PII) is information about an identifiable individual. This includes their name, address, phone number, age, date of birth, gender, marital or family status, health information, etc. 

 

Client information 

To be able to provide services to our clients it is necessary for us to collect, use, and (in some instances) disclose PII. We collect only the personal information that we need for the purposes of providing services to our clients, including that needed to: 

  • Communicate with client 
  • Provide client with pregnancy tests and pregnancy options. 
  • Provide client with one-on-one support and community referrals. 

 

Usually, we collect client information directly from our clients. We may collect information from other persons with consent or as authorized by law for purposes of offering our services in the most comprehensive way possible. 

 

Circumstances of Disclosure 

Please be advised that in certain circumstances we are required by law to disclose PII to third parties. While we take every precaution to respect and safeguard a client’s right to confidentiality, disclosure may be required in any of the following circumstances: 

  1. When there is imminent danger to a third party or to self 
  2. When abuse or neglect of a child is suspected 
  3. When a court orders disclosure 
  4. When a client requests disclosure 
  5. When a client files a complaint leading to legal action 

 

Website and newsletter 

We do not collect PII from those visiting our site. We do collect information when someone subscribes to our newsletter, fills out a form, or provides information on our site. We may use the information we collect to allow us to service clients in the best manner possible. 

 

If at any time a person would like to unsubscribe from receiving future emails, they can email us at info@wellingtonpregnancycentre.ca or follow the instructions at the bottom of each newsletter and we will promptly remove them from ALL correspondence. 

 

Third-party disclosure 

We do not sell, trade, or otherwise transfer to outside parties PII. 

How do we safeguard personal information? 

 

We may transfer PII to service providers where information to service providers is outsourced by us in the course of our administrative procedures. When PII is transferred to a service provider for processing, we require the service provider to respect this privacy statement and restrict them from using or disclosing personal information transferred to them for any purpose other than providing services to us. 

 

We make every reasonable effort to ensure that PII is accurate and complete. We rely on individuals to notify us if there is a change to their personal information that may affect their relationship with our organization. If you are aware of an error in our information about you, please let us know and we will correct it on request wherever possible. 

 

We protect PII in a manner appropriate for the sensitivity of the information. We make every reasonable effort to prevent any loss, misuse, disclosure, or modification of personal information, as well as any unauthorized access to personal information. File cabinets are locked when unattended and computers are password protected to limit access to files containing personal information. 

 

We use appropriate security measures when destroying PPI, including shredding paper records and permanently deleting electronic records using the appropriate sanitation methods depending on the kind of electronic devices used and the sensitivity of the personal information to be destroyed. 

 

Unfortunately, no data transmission over the Internet can be guaranteed to be 100% secure. As a result, while we strive to protect PII, we cannot ensure or warrant the security of any information transmitted to us or received from us electronically. This is especially true for information transmitted via email. We have no way of protecting that information until it reaches us. Once we receive your transmission, we make our best efforts to ensure its security on our servers.
